Cancellation Policy

Missed Appointment and Cancelation Policy Our goal is to provide quality health care to all our clients in a timely manner. No-shows, late arrivals, and cancellations inconvenience not only our instructors and trainers, but our other clients as well. Appointment Cancellation When you book your appointment, you are holding a space on our calendar that is no longer available to our other patients. To be respectful of your fellow clients, please call the trainer as soon as you know you will not be able to make your appointment. If cancellation is necessary, we require that you call at least 24 hours in advance. Appointments are in high demand, and your advanced notice will allow another client access to that appointment time. If you cancel your appointment greater than 24 hours prior to the appointment, then you do not “lose” that training session and may reschedule for a more convenient time. Missed Appointments/No-Shows An appointment is considered missed when the appointment is cancelled less than 24 hours before the scheduled start time of the appointment. An appointment is considered a no-show is when a client fails to appear at their appointment within 20 minutes of the scheduled start time. The first time a client either misses or no-shows for an appointment, a note will be made in their file. For the second, and each subsequent time a client either misses or no-shows for an appointment that client will “lose” that training session, as the appointment time was held for the client and not used. If a first-time client misses their first appointment, an additional fee will be charged, as the trainer must make additional preparations for new clients. If an appointment is missed, or a client is a no-show for their appointment and the cause is a true and unavoidable emergency, the trainer may elect to apply an exception to this policy. True and unavoidable emergencies include, but are not limited to, car accidents in transit to the appointment or the death of an immediate family member.
